A short record, a date without explanation, or a cropped photograph may guide viewers; they may also oversimplify.
Proper documentation acts as a bridge between an object and its history. Unique identifiers, reference codes, or control numbers make documents distinguishable and locatable. Descriptions establish relationships, and archives preserve traces of institutional activity. This may seem less striking than a virtual tour, yet it is what allows people to return to a source, check it, and understand why it is considered relevant.
Automated tools can process large document sets, transcribe material, or connect information, but the available sources stress a decisive limit: such technologies do not themselves understand the historical context of the data they process. Specialist supervision remains necessary to describe an object, its origin, or a document’s content. From receiving visitor to choosing user

Digital preservation: copy, description, responsibility

They do indicate that digital copies can protect fragile materials and enable more sustainable access; they also warn that virtual presentation can isolate works without context. Both statements must be held together.
